Land Record Automation

Clerk to Assessor Land Records Automation, developed by WestCOG and Catalis. This project is an outgrowth of WestCOG’s previous survey of municipal departments, in which land records were identified as an area that could benefit from the enhanced use of technology.

For this project, WestCOG has evaluated digital land records and associated workflows.  The study found 3 main goals.

  1. Eliminate duplicate data entry of land records data into CAMA,
  2. Automate tracking of land records documents,
  3. Provide a framework for continuous process involvement.

The main goal is to integrate municipal clerk databases into assessors’ CAMA systems for more efficient property data handling. Moving to automated processes can provide opportunities to reduce cost, time, and risk of error associated with property transactions.

The plan publishes General Considerations, file schemas and business rules to follow to implement the automation successfully.  Adopting these processes offers municipalities opportunities to reduce costs, save time, and minimize errors associated with property transactions.
